Make the folder describe one return period
Write the tax year on the cover and identify the return under review. File income statements by their source and keep corrected versions distinguishable from originals. A statement received this month may describe an earlier year; use its reporting period when assigning it a location. Keep the related envelope or source note if it explains when a document became available.
Add an index for facts that need explanation
Separate household identification, income evidence, prior return copies, and authority correspondence. Record changes relevant to the year without deciding their tax treatment from the index alone. If a document about a dependent or household cost is missing, state the factual question and the legitimate source that may answer it. Label an unavailable record as missing rather than filling the gap with a recollection presented as proof.
Retain the working version as well as the final file
Use copies for annotations and preserve source documents securely. Date the index when new material is added so a reviewer can see what changed after the first conversation. Before authorizing preparation or another professional task, clarify which return period and documents the work covers. The folder helps explain the evidence; filing requirements and benefit eligibility still require the applicable instructions and individual facts.
